This page lists all of the different information related to events that should be applicable (unless stated otherwise) to all events organised and hosted by Kigurumi Europe.
The following topics are covered:
To reserve a space the event organiser typically requires a deposit of £50, only after this payment has been made will your space be reserved. The event organiser will not reserve any spaces for people who have not paid the deposit.
All spaces are on a first come first serve basis so until someone has taken that space it is free for anyone to take.
The event organiser reserves the right to refuse entry to people who has not paid towards the event or who has caused issues at other events in the past.
By standard all deadlines are 1 week before the start of the event, at this point I plan to lock off the event so final plans can be prepared for stuff like food.
At the event organiser's discretion, exceptions can be made depending on both your circumstance and the events circumstances.
Money will be collected from everyone in advance to the event happening, this may be an exact amount or an amount to take into account other expected costs for running the event like providing food.
Unless stated otherwise, all spaces at the event will cost the same, regardless of amount of food eaten or the size of the room you get. This is because dividing up the cost based on what you had is not possible for some large events without needing to watch what people eat or see how much space is in a room to attain its value, which are all process that we do not agree upon doing at our events.
The deposit of £50 should be made when you reserve a space at the event, after which the remaining amount should be paid before the deadline.
Any unpaid/unexpected costs and any overpayments will be settled with all attendees shortly after the event is over. This will happen via the event organiser to avoid any confusion.
Once a space is booked then it is final, if you do not wish to attend anymore for whatever reason then instead you can trade your space with someone else and then the financial burden will be theirs.
If you do not know someone else who is willing to go then feel free to talk to the event organiser and they might be able to suggest someone who might want to go to trade with you.
Once you have traded your space, you MUST inform the event organiser so they can remove you from their list and can start to handle the new person instead, until this is done then it is not final.
Unless stated otherwise, food will be done by dividing everyone up equally into groups (based on internal friendship groups) which will have 1 appointed leader.
The changeover time for groups is between breakfast and lunch, meaning at this time the kitchen should be fully cleaned to ensure the next group finds it in a good condition.
People are appointed to groups based on the event organisers discretion, if you wish to (not) be in a group with someone then inform the event organiser and they should try to accommodate this.
It is up to the group to decide what to provide everyone with for food and then work together to provide this to everyone to eat for the following meals:
For larger events with over 8 attendees, it is recommended that you cook 2 options, 1 is something you have agreed would be nice for people or something you specialise in while the other option is something that is safe which is non-spicy, is not sea food based and everyone will like.
The leader’s role is to ensure that the group works together, they are the one in charge of the kitchen for that day. Below is a list of their standard duties:
The receipts from all shopping trips should be kept and passed onto the event organiser, they will be used to ensure that everyone pays the same amount so you will be reimbursed the cost of the shopping trip.
If you are allergic to any foods or require anything special, then please make this aware to the food group leaders and the event organiser so this can be taken into account while you are at the event.
This is to avoid any easily prevented issues from occurring during the event and to ensure that everyone can be comfortable while attending.
If you have any special sleeping arrangements, for example you and your partner are attending and would like a room together or you need to have a ensuite (if available) due to bowel issues, then please inform the event organiser when you book your space and they will try to ensure that you are happy that your sleep arrangements meet your needs.
Apart from this, normally you cannot reserve a space in a room until you arrive at the event itself, this is because we do not know the exact details of the rooms until we arrive.
Any issues between who is in what room will be settled by the event organiser, this will usually be based upon who reserved their space first at the event in question.
We welcome anyone who cannot attend the full event but is local enough to visit us for a day, to do so you MUST inform the event organiser so they know that you will be attending and for how long you plan to attend for so they can plan for food if needed.
If you do not inform the event organiser in advance, then they reserve the right to refuse you entry or to ask you to leave.
